You can calculate the length of service. You can do this yourself or an accountant can do the job. To manually determine the duration of the period, you will need a copy of the work book and insert, a calculator, a sheet of paper, and a pen.

Note! Future social payments depend on how correct it is. If you find errors in it, make the correct entries or send the employee to the organization that entered the information incorrectly into the document. In some cases, length of service is confirmed by certificates from employers, employment agreements, extracts from HR department records, testimony, and archival papers.


To do it manually, write down the periods of work on a separate sheet of paper. chronological order. Subtract the date of hiring from the date of dismissal at the enterprise. Write out the data separately. Do not try to add up periods of work in all organizations at once - this will lead to errors. What periods to consider?

The date of hiring was 03/15/2010, and the date of dismissal was 06/16/2014. Work experience - 4 years 3 months 1 day. For clarity, make the following entry: 06/16/2014 - 03/15/2010. Write down all the periods of work in different organizations, and then add up the numbers. Convert the data into standard units - years, months, days. Proceed in the same way work book, if you determine the duration of work in your specialty. But in this case, take into account the time periods when the employee worked in the professional field.

In this case, take July 1 of the year as the date. If the date of the month is not reflected, take the 15th of the corresponding month as the date. This is stated in the Rules approved. Two ways to calculate length of service with examples

If the calculation results in a negative number of months or days, proceed as follows. When only the number of months turns out to be negative, reduce the resulting value by one, and add 12 to the number of months. Then reduce 12 by the negative number of months.

When the number of days turns out to be negative, reduce the resulting number of months by one. Add 30 to days, reduce them by a negative amount. Keep in mind that when counting, a day is lost in each period. Therefore, add to the resulting number exactly as many days as there were periods of hiring and dismissal. It is this procedure that is established by the Instructions approved.

Ivanova’s work record included three periods:

  • from May 27, 1996 to March 13, 2003, she worked as a courier at ZAO Omega;
  • from March 19, 2003 to January 31, 2004 - at Hermes LLC;
  • from February 1, 2004 to August 4, 2006 - at Master OJSC.

On August 11, 2006, the employee began working at another company. Sum of employment dates: 05/27/1996 + 03/19/2003 + 02/01/2004 = 10/47/6003. Sum of dismissal dates: 03/13/2003 + 01/31/2004 + 08/04/2006 = 12/48/6013.

The difference between the number of dismissal dates and the sum of hiring dates: 12/48/6013 – 10/47/6003 = 02/01/0010 (10 years 2 months 1 day). Add three days to the resulting number, since there were so many periods of hiring and dismissal. It turns out that the work experience is 10 years 2 months and 4 days.

  • from March 19, 2003 to January 29, 2004 - at Hermes LLC;

On August 11, 2010, the employee began working for another company. Sum of appointment dates: 05/27/1996 + 03/19/2003 + 02/01/2004 = 10/47/6003. Sum of dismissal dates: 03/13/2003 + 01/29/2004 + 08/04/2010 = 12/46/6017.

The difference between the sum of dismissal dates and the sum of hiring dates: 12/46/6017 – 10/47/6003 = (-01).02.0014. Since the number of days is negative, to determine the length of service, subtract one from the number of months, and add 30 to the number of days, from which subtract the negative value (-01). The resulting value will be 01/29/14 (14 years 1 month 29 days). Add three more days. The total work experience will be 14 years 2 months 2 days.

How to calculate experience online?

To simplify your work, you can calculate your experience online. This way you will avoid mistakes, because the program rarely crashes. It is designed in such a way that every 30 days are automatically converted into a month, and 12 months into a calendar year. But this does not mean that you do not need to check the entered data. After entering them, check the information again with what is available.

  • Enter the dates of hiring and dismissal in the columns in the format day, month, year. Enter data manually or use a special calendar.
  • If there are other periods that count toward your work experience, add them to the program.
  • Click the "calculate" button. Look at how long the employee worked.
  • If errors are found, re-enter the information.

Let's create several positions by filling out part of the table. With your full name, everything is clear, but when filling out the ACCEPTED and FIRED columns, you will need to change the format of the cells. In new versions of Excel, they change automatically if you enter the date in the standard way: HH.MM.YYYY. Just in case, it is better to change the format in advance. To do this, select all the cells in the “Accepted” and “Dismissed” columns (except for the table header), right-click to open the context menu and select CELL FORMAT (CTRL+1) – DATE.

At the same time, we see that the date format can also be selected. Some people like it in numerical equivalent, others prefer that the month be written in words, etc. We will choose a partially verbal format.

Enter the start date of employees and their dismissal. Let them all get a job at different days and years, but quit in one.



Formula in Excel for calculating RAZNDAT length of service

Let's calculate the number of days that employees worked. Because length of service is taken into account regardless of breaks (weekends, sick leave and holidays), you just need to subtract the start date from the end date. Excel allows you to do this. Write the formula =C2-B2 in cell D2.


It turned out to be 6580 days. Let's convert them into years; it is not enough to simply divide by 365, because there can be 366 days in a year. Also, when we convert to the number of full months without taking into account years, we should take into account the fact that one month can have 30 and 31 days. Therefore, for accurate analysis you should use a special function RAZNDAT:


  • for cell E2(Years): =DATEDAT(B2,C2,"y");
  • for cell F2(Months): =DATEDAT(B2,C2,"ym");
  • for cell G2(Days): =DATEDAT(B2,C2,"md");

There is no date control, that is, you must ensure that the entries are correct. The order of the periods does not matter. If you missed any period from the work book when entering, there is no need to insert it in the middle. This period can be inserted at the end of the list.

When calculating, every 30 days are considered as a month, and 12 months as a year. It is also taken into account that the day of dismissal is included in the insurance period.

The procedure for manually calculating length of service from a work book:

  • write down all periods of work according to the work book,
  • count the number of days, months and years for each individual period of service,
  • calculate the total length of service by summing the length of service for all periods.

Example of calculating length of service

Let's look at calculating work experience using an example.

Let’s take the following period of work according to the work book: hired on 08/04/1984, fired on 08/02/1996.

You need to start calculating your experience with days. From the day of dismissal, we subtract the day of hiring and add one, since the day of dismissal is also considered a working day, that is, 2 - 4 1 = -1.

But since the result less than zero, you need to borrow a unit of months, and this unit of months is equal to 30 days.

We get 30 2 - 4 1 = 29 days

Now let's count the months, remembering that we took one when counting the days, that is, from the months we need to subtract 1: 8 - 8 - 1 = -1.

Since the result is again less than zero, you need to take one from the number of years, that is, take 12 months.

As a result, we get 12 8 - 8 -1 = 11 months

Now we count the years, remembering that we took one when counting the months1995 - 1984 -1 = 11 years

As a result of the calculations, it turned out that the length of service for the period was 11 years 11 months 29 days.

If, when calculating days, it would turn out to be 30 or 31, in this case it would be necessary to convert this number of days into full months, that is, subtract 30 days and add one to the number of months.

The total length of service is determined according to the same rules by adding days, then months and years of experience for all periods.

For example, let’s take 2 periods: accepted - 08/04/1984, dismissed - 08/02/1996 (experience for a period of 11 years 11 months 29 days) hired - 09/15/1997, dismissed - 10/25/2001 (experience for a period of 4 years 1 month 11 days).

First we sum up the days: 29 11 = 40.

Since a full month is considered to be 30 days, subtract 30 from the resulting amount: 40 - 30 = 10 days.

Keep in mind that you will need to add 1 to the number of months.

Let's sum up the months11 1 1 = 13.

The months turned out to be more than 12. Since a full year is considered 12 months, subtract 12 from the number of months and add one to the number of years.

So, the months will be 13 - 12 = 1 month

Let's sum up the years: 11 4 1 = 16 years.

In total, the total work experience was 16 years 1 month 10 days.

As you can see, manually calculating the total length of service is quite labor-intensive, and it is easy to make mistakes.
